The National Police Federation is currently hiring a Legal Services Coordinator (18-month contract) to join our team.
Overview of the Role: The Legal Services Coordinator is responsible for supporting the legal team by coordinating administrative tasks to ensure smooth and efficient legal operations.

Key Responsibilities:
Legal Services Administration
- Email and calendar management of senior members of team, namely the Manager of Legal Services and General Counsel.
- Review correspondence in relation to the Legal Services department. Respond or redirect correspondence appropriately.
- Assist in drafting, reviewing, and organizing legal documents, contracts, and correspondence.
- Schedule / coordinate meetings, prepare agendas, draft/assemble meeting documentation, record meeting minutes, and track action items.
- Draft briefing memos, letters, reports, presentation, and other documents.
- Travel and event coordination.
- Assist with data management.
- Assist with developing and/or maintaining Legal Services tools, SOPs, trackers, and databases.
- Assist with developing and/or maintaining the NPF’s file management systems.
- Assist with organizing and maintaining the shared Legal Services inbox.
- Provide support to NPF staff regarding the use of various systems managed by Legal Services.
- Assist with creating NPF resource documents.
- Assist with the onboarding of new Legal Services employees.
- Act as a software and database administrator as required.
Legal Matters and Inquiries
- Perform legal clerical duties such as maintain records, accounts, and file management
- Triage new legal matters/inquiries and ensure proper record keeping.
- Summarize new legal matters/inquiries and redirect them to the appropriate internal stakeholder.
- Proactively provide support to in-house counsel, communicate with key stakeholders in accordance with standard operating procedures (including NPF Members, NPF Staff, NPF Elected Officials, the NPF executive and NPF retained external counsel).
- Liaise with the Finance department to ensure financial integrity of files.
- Proactively identify and monitor applicable deadlines and ensure files/inquiries are actioned in a timely fashion.
- Draft retainer letters and communiques.
- Maintain and optimize the NPF file management systems and ensure all legal matter/inquiry datapoints are captured by the Legal Department’s file trackers.
Qualifications:
Education and Experience
- Minimum one year of experience working in a busy legal and/or administrative environment.
- College diploma or certificate in Office Administration, Business Administration, or a related field and experience (minimum 2 years) in office administration or in a related field OR a high school diploma with several years (3-5) of experience in office administration or in a related field.
- Experience working with confidential material.
- Experience managing strict timelines.
- Fluent in both official languages.
Knowledge and Skills
- Ability to identify and follow strict deadlines.
- Ability to summarize legal matters to internal lawyers and administrators.
- Ability to draft professional correspondence in both English and French.
- Ability to review and follow legal documents and grasp complex issues.
- Ability to quickly adapt to developing priorities and deadlines
- Highly proficient with Microsoft Office productivity tools.
- High degree of comfort with confidentiality principles.
- Ability to adapt to changing situations, new ideas, and concepts.

Other Requirements
- Travel required at least 4 times per year.

Compensation & Other Important Information:
The starting base salary, depending on qualifications/experience, for this position is between $63,500.00 – $76,860.00 range.
While some travel is required for this role, our remote work model includes flexibility in completing work hours and a philosophy in promoting a positive work-life balance.
